Once the completion of the course is confirmed, record the reason for the omission of the signature and the basis for verification on the correction form, and obtain the verifier's signature. If the basis is insufficient, do not merely supplement the record; you must also provide guidance on supplementary training.

The completion files of external training institutions and the company's personnel roster may differ in name spelling, employee ID, department, and reference date. First, establish unique identification standards to verify individuals with the same name, name changes, email address changes, and those who joined or left the company mid-term.
Even if the platform indicates completion, verify that the course name, training hours, progress and evaluation criteria, and completion date are correct. Conversely, if the course is marked as incomplete due to a system error, obtain confirmation data from the educational institution and retain it as grounds for correction.

In practice, it is useful to conduct two rounds of comparison: the day after training ends and before the end-of-month deadline. The first comparison compares the training institution's completion records with the internal list of participants to identify errors requiring immediate correction, while the second check verifies whether supplementary training and institutional correction requests have been reflected. Recording the number of participants and discrepancies for each comparison date allows you to explain when errors were discovered and resolved.
When new hires or employees returning from leave are added to the roster immediately after regular training, you must distinguish whether it was a simple omission or the emergence of a new training target. If a trainee is missing from the list and has not actually completed the training, you must not simply add their name to the correction sheet. When requesting corrections from external agencies, we provide only the minimum information necessary for the change and verify the file transfer method, retention period, and deletion status.
