Korean holiday closures can create a gap between an employee’s need for support and the company’s normal HR response. Global HR should verify service hours, escalation ownership, emergency routes, confidentiality and reopening handover before the closure begins.

A holiday notice is not enough. Before the office closes, HR should confirm which EAP contacts remain available, how urgent safety concerns are escalated, who receives provider notifications and what employees should do when normal internal contacts do not answer.

This guide focuses on continuity during Korean holiday closures. It does not replace the provider contract or an emergency response plan; it converts them into a dated closure checklist for employees, managers, HR and the EAP provider.

🗓️ 1. Define the closure window

Record the exact start and end of the closure, including early office closing, weekends and any substitute public holiday. Separate the company office schedule from the EAP provider’s intake, counselling and crisis-support hours.

Confirm whether regional sites, shifts and overseas assignees follow a different calendar. A Seoul office closure does not necessarily mean a production site or overseas team is unavailable.

Test the employee-facing phone number, booking page, email and app before publishing the notice. Check language options, caller location restrictions, voicemail wording and what happens when the primary route fails.

Do not describe a service as “24/7” unless the provider has confirmed what is continuously available. Intake, clinical consultation, manager advice and emergency dispatch may operate on different schedules.

🚨 3. Separate emergencies from routine EAP requests

Employees need plain instructions that EAP is not a replacement for emergency services. When there is immediate danger, serious injury, violence or inability to remain safe, local emergency services should be contacted first.

Name a primary and secondary internal contact for operational decisions, without making them responsible for counselling. Define when the provider may contact HR, who can authorise welfare checks or workplace actions and who receives an incident notification.

🔐 5. Protect confidentiality during escalation

A holiday escalation should not cause counselling details to be copied into a management group chat. The provider should share only information permitted by the contract, consent and applicable emergency exception, limited to what the company needs for safety action.

📣 6. Send one clear employee notice

The notice should state the closure period, routine EAP routes, expected response time, urgent support route, emergency numbers and the reopening date. Keep the same wording across email, intranet and messenger announcements.

Provide the notice in the languages employees actually use and ensure phone and digital routes can be accessed with assistive technology. Test whether an employee outside Korea can call the listed number and whether time-zone information is clear.

Call or open each route using a test account, confirm the provider escalation list and simulate one routine request and one urgent manager concern. Record failures and correct the notice before distribution.

On the first working day, review unresolved requests, failed contacts, urgent escalations and provider notifications. Remove temporary rosters, complete access-log review and confirm the next owner for every open item.
