Who verifies whether a report has been filed with the public health center when providing on-site flu vaccinations?

Hello, I am in charge of health management at the workplace.
Until last year, the system was that employees would get vaccinated at their own hospitals and receive reimbursement upon submitting their receipts. However, since there are many field personnel this year, we are looking into on-site vaccination services where hospitals come to the workplace to administer the shots.
I inquired at a few hospitals, and I was a bit confused because some said they would handle the reporting to the public health center on their own, while others said there were things the company needed to prepare as well.
Since the vaccination is being done outside of a hospital, I assume there must be some procedure, but I am not sure about the criteria—whether the hospital is responsible for verifying this or if the company needs to handle it as well.
I am also wondering if there are any separate documents the company needs to keep if I receive an on-site vaccination.
I'm wondering if the contract and tax invoice are sufficient, or if I also need to obtain details of the agreement the hospital reached with the public health center.
I also want to confirm if I should take the preliminary screening form from the hospital.
Please share how you usually verified these details at places where you have used mobile vaccination services.

If you find it difficult to make a judgment, you can request a work suitability assessment from an occupational health physician or an occupational and environmental medicine specialist. - Department head interview: Determine the placement and the plan for the first week of return based solely on the work restriction items from the health interview results. If you are concerned about the burden on the employee, you may conduct the meetings on consecutive days, or if the employee agrees, proceed with a single three-party meeting including the Health Manager. Even in this case, you should handle health matters only during the health interview session, and separate the discussion so that only work adjustments are discussed once the Department Head enters. The company is free to decide who in each department reviews what. Therefore, if the volume is high, we recommend a structure where the purchasing and user departments conduct the initial screening, and then divide the responsibility for expert judgment among them. - User Department/Purchasing Department (1st Stage): Write the intended use, monthly usage amount, and location of use on the request form, and verify whether the MSDS received from the supplier exists before placing an order. In fact, Subparagraph 5 of the same article grants safety and health managers and supervisors the authority and budget necessary for their duties, so formulating them into a departmental budget is also permissible. The key point is that you must be able to verify that the funds needed for improvements have actually been allocated and executed according to plan. Article 36 of the Occupational Safety and Health Act also mandates the establishment and implementation of improvement measures based on the results of risk assessments. Therefore, it is advisable to manage the reasons and schedules separately for items that have been stalled for several months under the "scheduled for improvement" status. The burden of repeating explanations can be reduced by providing the option for employees to send a summary of their consultation request, written directly by the employee, to the agency.
